Who is responsible
Together Events PH Limited, trading as Together Events, is responsible for your information on this website. Our company number is 16276995. Our registered office is Unit 1 Newton Business Centre Newton Chambers Road, Chapeltown, Sheffield, England, S35 2PH.
For privacy questions or requests, email hello@togetherevents.uk, call 0333 444 1561 or write to our registered office. Shaun Clayton is responsible for handling these requests.
What this notice covers
This notice covers browsing togetherevents.uk and sending a website enquiry. Event invitation Forms and the event app are separate services with information about privacy provided at collection. Browsing an event page or sending an enquiry does not register you for an event.
Information you give us
The contact form asks for your name, email address, enquiry topic and message. We use these details and subsequent correspondence to understand your enquiry and reply. The form identifies the required fields; without them it cannot send your enquiry. You can also contact us by email or telephone.
Please do not include patient information, a diagnosis, medical history or other sensitive personal details. If you need help with an access requirement, contact us initially without medical details so we can agree an appropriate way to discuss it.
Why we use your information
We rely on our legitimate interests in responding to people who contact us, providing information about our events and services, and protecting the website against abuse. We consider whether these uses are necessary and the effect on your rights. You can object to this processing by contacting us.
Sending an enquiry does not subscribe you to marketing. We do not sell enquiry details, add them to sponsor lists or publish your message. We do not use the website enquiry process to make solely automated decisions with legal or similarly significant effects.
Website and security information
Our hosting and security provider processes technical request information, such as IP address, requested page, browser information and timing, to deliver the website and detect abuse. The contact service checks request limits before sending an email. It does not create a separate enquiries database or deliberately write your message into application logs.
The accessibility toolbar stores your chosen display preferences in your browser. Our cookies and device storage page explains these settings and the optional Google Translate link.
Optional website analytics
With your consent, we use Google Analytics to understand how people use our public website and improve it. Google receives page-visit and technical information, including a browser identifier, device and browser details, timing and engagement, and limited referrer information. Google processes network information when your browser connects to its service.
Analytics is optional and stays off until you accept it. We rely on consent for this analytics processing. You can reject analytics or withdraw your consent at any time using Cookie settings in the footer. Withdrawing does not affect the lawfulness of processing before withdrawal.
We do not send contact-form content, names or email addresses to Analytics. Page addresses are sent without query strings or fragments. Google signals and advertising personalisation are disabled for this website. Our cookie notice explains the stored choice and analytics cookies.
We reuse the existing Together Events Analytics property. Its current settings retain event-level data for two months and user-level data for 14 months, with the user period resetting on new activity. Aggregated reports may be kept longer; Google’s retention controls do not apply to most standard aggregate reports. This analytics retention is separate from our 12-month closed-enquiry retention.
Who handles the information
Authorised Together Events staff handle your enquiry. Vercel hosts the website and provides its security controls. Brevo delivers contact-form messages to hello@togetherevents.uk. Microsoft 365 hosts that mailbox, which authorised staff can access through Superhuman. These services process information needed to provide hosting, email delivery and mailbox access.
Published event information is supplied by sPHere, operated by PHA UK. The website contact form does not send your enquiry to sPHere or to the event registration database. External websites and services have their own privacy information.
International processing
The website functions run in London, but this does not mean that all supplier processing stays in the UK. Our suppliers operate internationally and may process information, including for support and security, outside the UK.
Our providers publish data-processing terms that address international transfers, including applicable adequacy arrangements and contractual safeguards for UK personal information. Contact hello@togetherevents.uk for information about the safeguards relevant to your enquiry and how to obtain a copy.
How long we keep information
We retain routine website enquiries for 12 months after the enquiry is closed. Shaun Clayton reviews closed enquiries monthly and arranges deletion of the message, unnecessary contact details and associated working copies when that period ends.
If an enquiry becomes a contract, complaint or legal matter, we retain only the information needed for that separate purpose and explain the applicable period when relevant. A documented legal obligation or dispute may require a limited record to be kept longer.
Brevo delivery logs are automatically deleted after one month, and Brevo is configured not to store email previews. Hosting security logs and mailbox recovery copies have separate service retention arrangements. Deleting an enquiry from the working mailbox may not immediately remove a recovery copy; these copies are kept out of routine use and handled through the provider’s recovery and deletion controls.
Your rights
You can ask to access or correct your information and, where applicable, request deletion, restriction or portability. You also have the right to object to our use of information based on legitimate interests. The rights that apply depend on the circumstances and any lawful exceptions.
Contact hello@togetherevents.uk to make a request. We may need proportionate information to confirm your identity. You do not have to complete a special form.
If you are concerned about our handling of your information, contact us. You can also complain to the Information Commissioner’s Office at ico.org.uk/make-a-complaint or on 0303 123 1113.
Changes to this notice
We will update this notice when the website’s use of information changes and show the date of the revised notice.
